MEDICAL EQUIPMENT CAPITAL REPLACEMENT PLANNING

Evidence-based capital plans your committee can approve

EmTav scores every asset in your fleet, ranks replacement priority on evidence rather than age, and phases the result to your fiscal calendar. One CMMS export in. A board-ready plan out.

The mandate

Six questions every capital cycle turns on.

The assessment answers all six, in writing, with the reasoning attached.

01

Which assets require replacement this fiscal year?

02

What does one more year of deferral cost, per asset?

03

Which devices have passed end of support?

04

Where is this a fleet issue rather than a device issue?

05

How is the priority order defended to finance?

06

What carries into next year if only half is approved?

The instrument

The EmTav Replacement Readiness Score™

A composite 0–100 score for every asset in scope, built from five weighted factors and resolved to four risk tiers. Every weight, threshold, and benchmark source is documented in the workbook you receive.

WEIGHTED FACTORSCOMPOSITE Age against useful life Service strain Parts & end-of-support Clinical criticality Regulatory & cyber exposure RRS 0–100 Critical High Moderate Low
Five weighted factors resolve to one score and one of four risk tiers

Bounded definitions

Every factor has a written definition and a qualifying threshold. Service strain draws on vendor-wait duration and corrective history, and applies only where the evidence meets a documented bar.

Evidence gaps handled explicitly

Where service history is too thin to judge a factor, that factor is withheld and the score is rebalanced across the remainder. A record with no history is never credited as a healthy one.

Citable benchmarks

Useful lives, criticality classification, and end-of-support states are anchored to published healthcare finance and clinical engineering standards, each cited by name in the deliverable.

The principle

Evidence over age.

Age alone ranks a well-maintained twelve-year-old device ahead of a six-year-old device on its third board failure. The RRS separates the two.

Investigate Replace — priority Routine Retain under monitoring Young fleet, early failure pattern. Model-level issue until proven otherwise. Age and evidence agree. Highest RRS tier, first fiscal year. No action indicated. Passes an age filter, fails no evidence test. Capital released to where it is needed. CHRONOLOGICAL AGE → EVIDENCE OF STRAIN →

Deliverables

Four deliverables, populated with your data, owned by you.

Scored asset inventory

Every asset with its RRS, risk tier, end-of-support finding, replacement estimate, and target fiscal year. Live formulas and methodology tab included.

Executive dashboard

Fleet position, tier distribution, the age-versus-risk map, and the deferral ranking. Standard in every assessment.

Multi-year capital plan

Phased to your fiscal calendar, with the one-year deferral cost beside every line so the committee can trade off in the room.

Executive summary

Findings, recommendation, and reasoning in the language a capital committee uses.

Process

Fifteen minutes of your team's time.

End-of-support research, useful-life benchmarking, and replacement estimates are EmTav's work.

01

Scoping call

Scope, asset count, fiscal calendar. Thirty minutes.

02

One export

Assets, plus work orders where available. Format confirmed first.

03

Data receipt

Sufficiency confirmed in writing. The clock starts here.

04

Research & scoring

Per-model research and RRS application.

05

Findings review

Your engineers test the scoring. One revision round included.

06

Delivered

Four deliverables, in your files. Three weeks, single facility.

System-wide engagements are phased. Multi-facility scopes are sequenced by facility or service line, each phase delivering usable outputs before the next begins. The three-week schedule applies per phase and is agreed in writing before work starts.
Data integrity

A score is only as good as the record behind it.

The RRS reads install dates, model identifiers, service history, and acquisition cost. Where those fields carry migration defaults, duplicates, or gaps, the score shifts without a visible signal. The Inventory Data Integrity Review measures how much of your inventory is fit to plan from, and returns a prioritized worklist to close the gap.

Inventory Data Integrity Review →

The review fee is credited toward a Capital Replacement Assessment for the same scope, on the terms confirmed in your engagement letter.

For the capital committee

A summary you can forward to finance.

Independence

EmTav's revenue comes from the engagement alone. There is no equipment sale, service contract, software license, or vendor consideration attached to any recommendation, which is what allows the deliverable to stand in front of a capital committee.

Risk profile

Equipment and work-order records only. Protected health information is contractually excluded on a bilateral basis, so no business associate agreement is required. Liability is capped at fees. Client data is deleted at the close of the engagement. All deliverables are populated in the client's own files, in the client's own environment.

Data confidence profile, findings register, fleet composition analysis, and a prioritized remediation worklist. Credited toward an assessment for the same scope.

Plan Refresh

Elective
The plan re-scored against a fresh export each budget cycle, so year two is current when the committee sits. Priced per cycle.

Interactive Dashboard Package

ADD-ON
A published, filterable dashboard in your own Microsoft tenant. Introduced at the findings review.
Assurances

Three answers that clear procurement early.

Equipment records only

The work runs on equipment and work-order data. Protected health information is contractually excluded on a bilateral basis, so security review stays a formality and no BAA is required.

Your data stays yours

Client data is deleted at the close of the engagement and any elected refresh term. Deliverables are populated in your files, in your tenant, owned by you outright.

Platform-complementary

EmTav reads an export and returns a plan. Where a capital planning module is licensed later, the assessment becomes its validated baseline and business case.

An independent capital planning practice.

EmTav is a healthcare technology advisory practice built on more than two decades of hospital and health-system biomedical engineering leadership.

The scope is deliberately narrow: medical equipment capital replacement planning, and independent review of the equipment data those plans depend on. Both resolve to the same question — what a fleet actually requires, and whether the reasoning will hold in front of the people who approve it.
